Job Description:
We are looking for an energetic Inside Sales Representative, who shows a strong interest in all aspects of the sales
process and the products they are selling. This person will be responsible for all inside sales functions for 2 of the 5
business units that operate out of our location. These business units involve thermal carbon products and mechanical
carbon products. The ideal candidate will be someone who has strong customer service skills, and who can use their
organizational skills to ensure all orders and projects stay on track.
Ideal Candidate:
– Has a technical background or an interest to grow their technical knowledge
– 2+ years Inside Sales/Customer Service experience creating quotes, processing orders and following up on orders to
ensure they will deliver as planned
– Ability to read simple drawings/blueprints; experience reviewing BOMs
– Experience working with engineering team on product specifications
– Has worked with ERP systems (SAP would be a plus) in the past
– Good communicator both internally and externally
– Good at prioritizing what work needs to be done, must also be good at switching gears at any moment
– A self-motivator who is able to get the job done with minimal supervision
General Responsibilities:
– Work with internal and external sales and engineering to ensure order requirements are fulfilled.
– Create reports as necessary in SAP or MS Excel for Sales.
– Initial contact for new customer inquiries. Respond to various customer inquiries regarding general product
information, order information and pricing.
– Maintain stock levels for materials as defined in SAP, including making recommendations for adjusting stock
levels.
– Maintain material master records.
– Provide assistance with tracking of shipments and providing freight related information according to customer
requests.
– Maintain customer files for orders and quotations
Job Requirements
Key BU1 Responsibilities:
– Create quotes and enter customer purchase orders in SAP
– Maintain shipping schedules for open contract orders
– Coordinate with company in Germany and Mexico to organize direct shipments to customers
– Maintain electronic files for all quotes and order related documents including purchase orders, order
confirmations, and shipping documents.
Key BU2 Responsibilities:
– Work with Product Manager and Engineering team to coordinate order fulfillment process for BU2 customers.
o Ensure timely order entry and confirmations for customer purchase orders.
o Monitor status of purchase orders with suppliers and follow up as needed.
o Ensure special instructions are noted and followed by suppliers, including help with any logistics
arrangements, quality system documentation, etc.
o Collect data to help track performance of the process, such as on time delivery, adherence to contract
terms, etc.
o Drive continuous improvement in order fulfillment process
o Ensure prompt feedback to customers on shipment delays. Expedite orders as needed.
– Coordinate special projects identified by Product Manager
o Examples
– Create and maintain budgetary price list for common heat treat parts
– Assist with market analysis of strategic business areas
– Develop a standard sample kit to be sent to prospective customers
