Job Description
The Administrative Receptionist serves as the first point of contact for visitors, clients, and staff. This role combines front desk responsibilities with administrative support to help ensure smooth daily office operations. The ideal candidate is professional, organized, friendly, and able to manage multiple tasks in a fast-paced environment.
Key Responsibilities
- Manage and oversee daily office operations
- Serve as the first point of contact for customer inquiries via phone, email, and walk-ins
- Greet visitors and handle incoming calls and emails professionally
- Maintain and organize office files, records, and documentation
- Schedule meetings, appointments, and manage calendars
- Order office supplies and maintain inventory levels
- Prepare reports, memos, invoices, and other documents as needed
- Track and audit inventory, order materials, and provide quotes
- Maintain daily logs of material sales transactions
- Ensure the yard crew is prepared to support customers and installation teams with material preparation and loading
- Coordinate facility maintenance, cleaning, and repairs
- Ensure compliance with company policies and procedures
- Assist with the continuous improvement of systems, processes, and documentation to enhance efficiency and provide high-quality support to customers and employees
Qualifications
- Associate degree in Administrative Assistance, Business Administration, or at least 3 years of experience in an office administration role
- Notary Public certification preferred
- Strong organizational and time management skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience in a construction industry environment preferred
- Strong written and verbal communication skills
- Ability to multitask, prioritize effectively, and collaborate with management, supervisors, and employees across departments
- Excellent interpersonal and communication skills, with the ability to interact professionally with individuals at all levels of the organization
- Ability to maintain confidentiality and handle sensitive information professionally
